ChatGPT is impressive. So why does using it still feel like extra work?

You keep explaining things you’ve already told it. You get something almost right, then correct the tone, details and assumptions. And every useful task still starts with you finding the information, pasting it in and telling AI what to do next.

One task, start to finish

Right now, you’re still the glue holding the whole thing together.

  1. 01You

    An email comes in

  2. 02You

    Copy it into the chat

  3. 03You

    Explain who the customer is

  4. 04You

Say how you want it written

  5. 05AI

    Drafts something useful

  6. 06You

    Fix the tone and details

  7. 07You

    Copy it back and send

One of those seven steps is the AI. The other six are you.

ChatGPT is doing something impressive. But you are still carrying the context, the process and the follow-through — and the next task starts from the beginning again.

The reframe

The problem isn’t that AI isn’t smart enough.

When you hire someone good, they are still pretty useless on day one. Not because they aren’t smart. Because they don’t know your customers, your prices, how you talk to people, or what matters right now. A few weeks in, that changes — and they stop waiting for every instruction.

Then they start saying
  • “You haven’t called this customer back.”
  • “That quote has been sitting for a week.”
  • “Here’s what needs your attention today.”

ChatGPT is already smart. The missing piece is everything a good employee would have to learn about your business.

What changes

Imagine if it already knew.

Imagine opening your computer and your AI already knows who you serve, what you offer, how you communicate, what matters this month, and which tools it is allowed to use.

It can prepare you for a meeting. Draft an email in your voice. Tell you which quote has gone quiet. Remember the commitment you made after a customer call. And, eventually, run some of those routines without you remembering to start them.

Instead of beginning with

“Let me explain the situation…”

You can begin with

“What needs my attention today?”

At that point, you’re no longer just asking ChatGPT questions. You’re beginning to build an AI colleague.

Build Your First AI Employee

Build an AI that understands your business, learns how you work, and helps you keep track of what needs attention.

This isn’t a course about AI. You build it, a step at a time, for your actual business.

Every step, the same rhythm

Understand

One useful idea, explained in plain English.

Build

Do it in your own AI, for your own business. There’s a copy-ready prompt at every step, so you never start from a blank box.

Check

A quick check that it worked, so each part is solid before the next one depends on it.

All you need is your laptop and the Claude or ChatGPT desktop app on a paid plan, about $20 a month. In the live cohort you also watch each piece built for a fictional local business first, then build yours with help in the room.

The three stages

One AI, getting more capable at every stage.

Go at your own pace or with the live group. Either way it comes together in three stages, and nothing gets thrown away: each builds on the last, and everything you build is yours to keep.

Stage 01

It finally understands your business.

Solves the “Why do I keep explaining myself?” problem.

Your AI gets a real understanding of your company, and can look at approved business information before it answers.

You keep: a written description of your business your AI can read, plus at least one place it’s allowed to look things up.

Stage 02 · builds on stage 1

It does things your way.

Solves the “Why do I keep correcting it?” problem.

You’ve stopped starting over. It knows how you want certain work done, and how to stay current when prices, promises and priorities change.

You keep: at least one job your AI now does your way, saved so you can use it again, and a simple habit for keeping details up to date.

Stage 03 · builds on stages 1 and 2

It tells you where to look.

Solves the “Why do I always have to remember to ask?” problem.

Your AI is no longer only waiting for prompts. It surfaces what deserves attention — who’s waiting, what’s overdue, what has gone quiet — and runs a few low-risk routines on a schedule.

You keep: one page of what you owe, what you’re waiting on and what’s gone quiet, one routine that runs on its own schedule, and a repeatable way to build the next one.

What you keep

This isn’t a course you watch. You are building something you keep.

Six pieces, built in order. Each depends on the one before it, which is why the result behaves like one system rather than six separate tricks.

  1. 01What your business is
  2. 02What it’s allowed to look at
  3. 03How you like work done
  4. 04Keeping things up to date
  5. 05What needs your attention
  6. 06A few things on a schedule

You decide what your AI is allowed to see before anything gets connected.

Before you connect your email, you decide whether that mailbox is the right one to share, and anything told to you in confidence stays out of your records: your AI notes that a person exists, not their case. Existing legal and privacy obligations still apply.

Who made it

I’m building my own company this way.

This is the practical system I’ve been building for myself, translated for a non-technical small-business owner. Before this, about twenty years designing software and products, including work at ServiceNow, Reddit and GOV.UK.

I’m not interested in teaching you a pile of prompts. I want you to leave with something working inside your business.

The investment

Two ways to build the same thing. You’re not paying for lectures about AI. Either way, you spend the time building the system for your own business, and each part should actually work before you move on.

What both options include

  • The full course: 31 guided steps. Each one is an idea, then you do it in your own AI, then a check that it worked.
  • Copy-ready prompts at every step. Copy, paste, done. No prompt-writing skill needed.
  • Setup built in: getting the app, making your business folder, connecting your email and calendar.
  • Your business lives in files you own. Move from ChatGPT to Claude, or to whatever comes next, and it comes with you.
  • All future updates to the course.

Questions

Before you decide

I’m barely using ChatGPT. Is this too advanced for me?

No. If you’ve used AI for an email, a question, brainstorming or summarizing a document, you have enough experience to start. It’s designed for non-technical business owners, and you don’t need to write code or understand APIs.

What software do I need?

The Claude or ChatGPT desktop app on a paid plan, about $20 a month. The live cohort builds in Claude on a Pro plan, plus Zoom, so the sessions are easy to follow. The more important thing is the description of your business, the instructions and the ways of working you create. Those aren’t dependent on one AI vendor remaining the best forever.

What if my business contains confidential information?

You do not need to give the AI access to anything you are uncomfortable or prohibited from sharing. The course shows you what to leave out and how, step by step. Every business remains responsible for its own privacy, security and regulatory obligations; this is not legal or compliance advice.

What if I fall behind?

On your own, you can’t: it waits where you left off. In the live cohort every session is recorded, and you have the full course to catch up with. The building is the part you’ll want to do yourself, so try not to miss two sessions in a row.

Will you build the whole thing for me?

No. You build it, with help when you get stuck, so you understand and own the system. If you later have a larger piece of work you’d prefer designed and set up for you, that’s a separate conversation.

What happens when I’m done?

You keep what you built, the course and all future updates to it. The final chapter is specifically about how to build the next one yourself.
